Plan your first broadcast
A broadcast sends one published email to included lists and segments after exclusions, suppression, and readiness checks. Complete the email marketing quickstart with an internal list before using a production audience.
1. Write the brief
Section titled “1. Write the brief”Before opening the editor, write down:
- the audience and why they should receive the message now
- the one outcome the message should produce
- the proof or source behind important claims
- the offer, deadline, or operational constraint
- the person who owns final approval
If the audience or offer cannot be explained in a few sentences, the broadcast is not ready to draft.
2. Prepare and publish the email
Section titled “2. Prepare and publish the email”- Open Emails and create a reusable email.
- Draft with Loop, start from a blank canvas, import HTML, or choose a template.
- Set a durable internal label, subject, preview text, sender, and reply-to address.
- Check content against the active brand, audience, and source material.
- Review all links, images, alt text, merge fields, and footer details.
- Send a test email.
- Publish the email.
Publishing makes the email selectable. It does not deliver it.
3. Create the broadcast
Section titled “3. Create the broadcast”- Open Broadcasts and create a new broadcast.
- Select the published email.
- Choose included lists and, if needed, included segments.
- Add excluded lists or segments.
- Select the sender and verified domain.
- Review the estimated and final sendable audience.
- Resolve every readiness blocker.
At least one included list is required before segment filters can narrow the audience.
4. Review the final audience
Section titled “4. Review the final audience”Check:
- the source of each included list
- the exact segment revision being used
- overlap between included and excluded groups
- suppressions, unsubscribes, bounces, and complaints
- invalid or missing email addresses
- whether the final count is plausible
Investigate an unexpected count before delivery. “The system allowed it” is not an audience strategy.
5. Test, approve, and schedule
Section titled “5. Test, approve, and schedule”Send a test to reviewers who can check content and rendering. Then review the broadcast itself:
- email and sender
- final audience and exclusions
- delivery time and workspace timezone
- frequency caps and quiet hours
- readiness state
- approver and owner
Schedule or send only after the final broadcast view—not a draft document or chat response—matches the approved plan.
After delivery
Section titled “After delivery”Open the broadcast and Analytics to review delivery, clicks, bounces, complaints, unsubscribes, and other relevant outcomes. Record what the team will change next time.
Use Broadcasts for state and control behavior, Contacts, lists, and segments for audience design, and Approvals and review for the review checklist.
