Contact hygiene

Contact hygiene keeps email away from invalid addresses and people who should not receive it. CopyLoop enforces suppression during delivery, but your team still owns the quality and permitted use of the source data.

  • Unsubscribed: the contact or list preference does not allow the relevant email.
  • Hard bounce: the address was reported as permanently undeliverable.
  • Complaint: the recipient reported the message as spam.
  • Manual suppression: an operator explicitly blocked delivery.
  • Invalid address: the address is missing or fails validation.
  • Source exclusion: a CRM, import, region, lifecycle, or contractual rule excludes the contact.

These states should not be overwritten simply because a later import or application webhook includes the same email address.

From Contacts, review:

  • source and last update
  • status and email validity
  • list membership
  • unsubscribe or suppression state
  • recent activity
  • unexpected duplicate or conflicting data

Use Suppressions to inspect or manage workspace-level blocks when your role allows it.

Before a CSV import:

  1. identify the source and owner
  2. remove records you are not permitted to use
  3. normalize the email column
  4. map only fields with a clear CopyLoop purpose
  5. decide the target list
  6. review the preview and error rows
  7. compare the imported and expected counts

Do not upload a purchased or unexplained list.

  • Identity answers: “Which person or account is this?”
  • Attribution answers: “Where did this interaction come from?”
  • Consent or another lawful basis answers: “May this data be used for this purpose?”
  • Suppression answers: “Must delivery stop?”

An application signup or website visit can update identity or attribution without creating marketing permission. A later profile update must not erase an unsubscribe.

  1. Confirm the list and segment source.
  2. Review recent imports or sync changes.
  3. Confirm unsubscribe, bounce, complaint, and manual suppression state.
  4. Compare expected membership with the final sendable count.
  5. Investigate a large increase or drop.
  6. Check bounce and complaint trends from recent sends.

Pause expansion if a list looks unexpectedly large, unexpectedly clean, or disconnected from an understood source.
