Salesforce integration
The Salesforce integration brings selected lead, contact, account, and campaign context into CopyLoop for contacts, segmentation, attribution, and automation.
Before you connect
Section titled “Before you connect”Decide:
- whether to connect production or a Salesforce sandbox
- which Salesforce user will authorize the connection
- which objects should sync
- which list in CopyLoop will receive eligible CRM contacts
- which fields support identity, eligibility, segmentation, personalization, or reporting
- which fields must remain excluded
Use a Salesforce user with the minimum access needed for the selected objects and fields.
1. Authorize the connection
Section titled “1. Authorize the connection”- Open Settings → Integrations.
- Find Salesforce and choose Connect.
- Choose the production or sandbox login as appropriate.
- Complete Salesforce authorization.
- Return to the CopyLoop connection setup.
The connection can exist before the first sync is activated. Use that setup period to review access and mapping.
2. Configure the sync
Section titled “2. Configure the sync”Start with one object family and the smallest useful mapping:
- Salesforce record ID
- email and name
- lifecycle or eligibility fields
- account or company context needed for segmentation
- original source, latest source, campaign, or landing-page attribution
- owner or team field used for routing
Choose or create the CopyLoop master list used by the connection. Review automatic sync frequency and activation settings before enabling them.
3. Map fields deliberately
Section titled “3. Map fields deliberately”For every field, name its purpose:
- identity
- send eligibility
- segment rule
- personalization
- attribution
- reporting
- owner routing
Do not map a field only because it exists. Exclude sensitive, internal-only, stale, or free-form fields that do not have a controlled CopyLoop use.
CRM context is not automatically safe AI context. Keep fields used for reporting out of generation when their content is not appropriate for a prompt.
4. Run and verify the first sync
Section titled “4. Run and verify the first sync”- Start with a small, understood scope.
- Run the sync.
- Open the connection’s sync history.
- Compare processed, created, updated, skipped, and failed counts.
- Inspect several contacts in CopyLoop.
- Confirm record IDs and mapped fields.
- Confirm list membership and suppression behavior.
- Test one segment that uses a synced field.
Only enable broader scope or automatic sync after the first result matches the plan.
Troubleshoot
Section titled “Troubleshoot”If sync fails or data is missing, check:
- the connected Salesforce user still has object and field access
- mapped fields were not renamed, removed, or restricted
- the CopyLoop master list and mapping are active
- the selected object type is included
- a segment is not relying on an unsynced or stale field
- attribution is not being overwritten downstream
- CopyLoop and Salesforce have a clear source-of-truth rule
Reauthorize when the Salesforce session or permissions changed. Review the sync history before re-running a broad sync.
